Event room; notification of temporary use
You must report an event with more than 200 visitors that is only to be held temporarily in a room that is not approved as an assembly room.
The temporary use of rooms for an event with more than 200 visitors must be reported if
- the rooms do not comply with the provisions of the Ordinance on Places of Assembly and
- a building permit as an assembly room, which includes the type of event intended, is not available.
The notification with any necessary documents must be submitted to the responsible lower building supervisory authority.
As part of the notification procedure, the building supervisory authority checks whether the event can be held as planned. It confirms receipt of the notification to the operator or organizer and informs them whether it intends to take safety measures.
If it is foreseeable that a room that was not originally planned and approved as a meeting room will now be used for holding events not only temporarily but on a regular recurring basis (usually from the sixth time per year per venue), this requires building law approval of a corresponding change of use.
There is no general, Bavaria-wide deadline for this type of notification. However, this should be agreed in good time in advance with the local building supervisory authority.
The documents to be submitted, if any, may differ depending on the type and size of the event and the venue.
